This Privacy Policy explains how [Business Legal Name] trading as Prime Tutors, ABN [ABN] (“we”, “us”, “our”) collects, holds, uses and discloses personal information.

We provide online tutoring and related educational services only to students based in New South Wales (NSW), including children.

Where the Privacy Act 1988 (Cth) and Australian Privacy Principles (“APPs”) apply to us, we will handle personal information in accordance with those requirements. We also use this Policy as our general privacy standard where those laws do not legally apply to a particular activity.

1. Personal Information We May Collect

The information we collect depends on how a person interacts with us.

Parents and guardians

We may collect:

Students

We may collect:

We aim to collect only the information reasonably necessary for our tutoring and business activities.

2. Information About Children

Many of our students are under 18.

For under-18 students, enrolment and purchasing are ordinarily handled by a parent or legal guardian.

We seek to minimise unnecessary collection of children's personal information and use student information primarily for tutoring, scheduling, academic support, safeguarding and administration.

The parent or guardian is ordinarily our primary administrative contact.

Tutors should ordinarily communicate with under-18 students through or with the involvement of the parent or guardian where messaging services such as WhatsApp are used.

Our standard online tutoring lessons are not recorded.

We may still collect information generated through the tutoring relationship, such as lesson attendance, academic progress, questions asked, work completed and tutor observations.

3. Sensitive Information

In some cases, a parent, guardian or student may voluntarily provide information about matters such as:

We only seek sensitive information where it is reasonably necessary for the relevant purpose and where collection is permitted by law.

Where required, we will obtain consent.

Customers should avoid providing sensitive information that is not reasonably relevant to the tutoring service.

4. How We Collect Personal Information

We may collect information:

Where reasonable and practical, we collect a child's enrolment information from the child's parent or guardian.

5. Why We Collect and Use Personal Information

We may use personal information to:

We may also use contact details for marketing where permitted by law.

6. Tutors' Access to Information

An assigned tutor may receive personal information reasonably necessary to teach the student, which may include:

Tutors must only use student information for authorised tutoring and related purposes.

Tutors must not use student or parent contact details for unrelated purposes.

7. Parent Progress Information

For under-18 students, we ordinarily provide a progress update to the parent or guardian after every four lessons.

Progress information may include:

8. Communications and WhatsApp

Parents or guardians may communicate with us or tutors through WhatsApp or other approved channels.

Students may also receive the package's included online doubt-clearing sessions through services such as Google Meet or Zoom.

WhatsApp messages may be processed by the relevant third-party platform according to its own terms and privacy practices.

For under-18 students, WhatsApp communication with the tutor should ordinarily occur through the parent or guardian rather than a private tutor-to-child messaging relationship.

9. Who We May Disclose Information To

We may disclose personal information where reasonably necessary to:

We do not sell students' or parents' personal information as a commercial product.

10. Service Providers and Overseas Handling

Our official website, https://primetutors.com.au, is hosted on Vercel. Website enquiries are stored in Supabase, with the project database located in Sydney, Australia. We use short-lived, hashed technical identifiers to limit repeated submissions.

When enabled, Cloudflare Turnstile provides spam protection and Plausible provides limited website interaction analytics. Cloudflare receives browser and network information needed to assess the security check. We do not send your name, email, phone number or free-text enquiry to our analytics provider, or include those fields in Turnstile verification requests.

Some providers may process technical information outside Australia. Plausible describes its service as hosted in the European Union; Vercel and Cloudflare operate international infrastructure. The Sydney database location does not mean all provider processing occurs in Australia.

Where applicable, we take reasonable steps required by Australian privacy law in relation to overseas disclosures. Full provider processing locations: [confirm countries after reviewing the services and account configurations in use]. Independent providers also publish their own privacy policies.

11. Payment Information

Payments may be processed by an independent payment service provider.

We may receive information such as:

We should not need to retain complete card details where payments are processed securely by a third-party payment provider.

12. Website Data and Cookies

The website separates enquiry information from optional usage measurement. Enquiry details are sent to the tutoring enquiry service so we can respond. They are not sent to analytics.

When enabled, Plausible counts six types of interaction: enquiry-button clicks, form starts, successful form submissions, package interest, subject interest and year-level interest. Only approved event names and fixed categories are sent. A form completion is counted only after the enquiry service confirms it was saved.

Analytics never receives names, email addresses, phone numbers, free-text learning goals, senior-course descriptions, enquiry references, full form contents, URL query strings or URL fragments. We do not use advertising pixels, session replay, cross-site advertising identifiers or automatic form capture. The analytics integration does not set cookies or store a visitor identifier in your browser.

The analytics provider necessarily receives network information when a browser connects, including an IP address and browser information. Plausible processes this to provide aggregate statistics under its data policy. We do not add that information to event properties or connect analytics events to saved enquiries.

The website honours Global Privacy Control and Do Not Track browser signals by disabling optional analytics. If a visitor selects the under-18 option in the form, optional analytics stops for the remainder of that page visit. Earlier interactions may already have been counted without contact details. We do not build profiles of individual students.

When enabled, Cloudflare Turnstile checks the browser before the enquiry is sent to help distinguish people from automated submissions. A short-lived token is verified on our server. A failed or expired check prevents submission until a fresh check succeeds. Turnstile is a security service, separate from optional analytics; browser and network information may be processed by Cloudflare for this purpose.

Our application does not save enquiry contents in browser local storage or session storage. Hosting and security providers may process operational logs for reliability and abuse prevention. If you cannot submit an enquiry or have privacy questions, email contact@primetutors.com.au.

13. Marketing

We may send information about tutoring services, promotions, packages or related offerings where permitted by law.

Marketing communications will provide a way to unsubscribe where required.

A person may also ask us at any time to stop sending direct marketing communications by contacting us at contact@primetutors.com.au.

Unsubscribing from marketing does not prevent us from sending service-related communications such as booking information, receipts, lesson changes or important account notices.

14. Referral Program Information

Where a customer participates in our referral program, we may collect information reasonably necessary to:

Customers should not provide unnecessary information about another person without their permission.

15. Security

We take reasonable technical and organisational measures appropriate to our operations to protect personal information against:

Measures may include access controls, secure service providers, account-security practices, staff and tutor policies, authentication controls, restricted access and appropriate data-handling procedures.

No online system is completely immune from security risks, but we seek to use safeguards proportionate to the information we hold.

16. Data Breaches

We maintain processes for responding to suspected data breaches.

Where the Notifiable Data Breaches scheme or another applicable law requires us to notify affected individuals or a regulator about an eligible data breach, we will do so in accordance with those requirements.

17. Retention and Deletion

We retain personal information only for as long as reasonably necessary for:

Where personal information is no longer required and we are not legally required to retain it, we will take reasonable steps to destroy it or de-identify it where applicable.

Backups and third-party systems may require additional time before deleted information is fully removed.

18. Access to Personal Information

A person may contact us to request access to personal information we hold about them.

We may need to verify identity before providing access.

Access may be refused or limited where permitted by law, in which case we will handle the request in accordance with any applicable legal requirements.

For information relating to a child, we may consider the authority of the requesting parent or guardian, the student's age and circumstances, and any applicable legal requirements.

19. Correction of Information

Customers should tell us if personal information we hold is inaccurate, incomplete, out of date or misleading.

Requests for correction can be sent to:

contact@primetutors.com.au

We will take reasonable steps to review and, where appropriate, correct the information.

20. Anonymity and Pseudonyms

People may browse general information on our website without identifying themselves where our website permits this.

However, we generally need accurate identifying and contact information to:

For those functions, anonymous or pseudonymous participation may not be practical.

21. Complaints About Privacy

Privacy questions or complaints can be sent to:

Privacy Contact: [name/role]
Email: contact@primetutors.com.au

Please provide enough information for us to understand and investigate the issue.

We will aim to acknowledge and investigate privacy complaints within a reasonable period.

Where the Privacy Act applies and a person is dissatisfied with the outcome, they may have the right to contact the Office of the Australian Information Commissioner (OAIC) or another applicable regulator.

22. Third-Party Websites and Services

Our website or communications may link to third-party services.

We are not responsible for the privacy practices of independent websites or services that we do not control.

Customers should review the privacy policies of relevant third-party providers where appropriate.

23. Changes to This Privacy Policy

We may update this Privacy Policy when our services, systems, legal obligations or information-handling practices change.

The latest version will be made available on our website with its effective or last-updated date.

Where a change is significant, we may take additional reasonable steps to notify affected customers.
